Getting a Photographer Through the Gate at Reunion West, ChampionsGate, Windsor at Westside and Storey Lake

By Tyler Landon, Jet Media Productions·

Gate access is how a photographer, cleaner or any other vendor gets past the security gate of a resort community, and in the Kissimmee resort corridor every community runs it differently. A pass that works at one gate is useless at the next, and a photographer stuck at the guest lane is a shoot that starts late or not at all.

Owners and managers usually handle this through cleaners and maintenance crews, so the process is familiar. What catches people out is assuming a photographer gets in the same way a guest does. In several communities they do not.

How Does Each Community Let a Vendor In?

Here is how four communities on the corridor handle it, from each association's own published guidance.

What Should I Know About the Reunion West QR Pass?

Reunion West is the property owners' association for Encore at Reunion. Owners and authorised managers register for its gate portal, then text or email each guest or vendor a QR pass.

Two details decide whether the photographer gets in:

  • One pass, one car. The pass attaches itself to the first vehicle that scans it. A screenshot sent on to someone else will not open the gate for a second car, so issue a fresh pass in the photographer's name rather than forwarding the one the cleaner used.
  • Dates are fixed. A pass works only between the dates set when it was created, up to 30 days. If a real twilight session is booked for a different evening from the daytime shoot, make sure the dates cover both.

The association also issues mirror hang tags to vendors and property managers who come and go regularly.

What Does ChampionsGate Need Before the Shoot?

A work order. ChampionsGate's Master Association runs the gates, and contractors and vendors enter on a preauthorized work order. Vendors are expected to be registered before they reach the gatehouse.

ChampionsGate also straddles the Osceola and Polk county line, and many homes sit in a sub-association inside the master community. The gate rules come from the Master Association, so register through the master process even if the home's own sub-association is the one you deal with day to day.

Why Can a Windsor at Westside Shoot Get Stuck at the Gate?

Because the guest process is built for renters. Anyone without an owner or vendor proxy card goes to the entry gate for the home's street (Tripoli Ct, Lima Ave or Sydney Dr) and shows a booking confirmation and a driver's licence to be issued a proxy card for their stay.

A photographer has a driver's licence and no booking confirmation. Arrange vendor access through the owner or management company before the day, and include the right gate for the street in the booking notes.

Is a Gate Code Enough for the Clubhouse and Amenities?

Often not. A gate code or pass gets a photographer to the front door of the rental. The resort amenities are run separately.

  • Storey Lake: guests sign in at the clubhouse and get a wristband for the amenities.
  • Encore at Reunion: clubhouse access for a rental depends on the management company being on the club's approved list.

If you want the lazy river, the pool complex or the clubhouse in the photo set, ask the association or the clubhouse before the shoot what a photographer needs, and whether commercial photography of the amenities is allowed. None of the four associations publishes a rule on that, so the answer comes from asking. Aerials are a separate question, decided by airspace rather than the gate, and we check the address against current flight restrictions before the shoot.

What Should Go in the Booking Notes?

Everything the photographer needs at the gate, so nobody has to phone the owner from the visitor lane:

  1. The community and the home's street, so the right gate is used.
  2. How access has been arranged: a QR pass issued, a work order registered, a proxy card waiting, or a gate code.
  3. The lockbox or door code for the home itself.
  4. Any clubhouse or amenity access you have arranged, and who agreed to it.
  5. The checkout and check-in times if the shoot falls on a turnover day.

The booking form has a notes field for exactly this. Property managers booking several homes in one community can give us the access notes once, and we route the day from them.

Jet Media Productions shoots vacation rentals in ChampionsGate, Reunion, Encore, Windsor at Westside, Storey Lake and the rest of the corridor, with packages from $219, drone aerials included and photos delivered within 24 hours. The community pages for ChampionsGate, Reunion Resort, Encore, Windsor at Westside and Storey Lake cover how we shoot each one.

Gate procedures change, and this is general information taken from each association's published guidance. Confirm the current process with your association before the shoot.
